Purchasing/Payables & Facilities Admin Assistant

Purpose of the job

This role is designed to provide the purchase ledger requirements for the company and facility administration.

Ensure all order request forms are completed and approved in accordance with the agreed procedures and policy
Raise PO in the accounting system
Negotiate rates with suppliers & place orders Receive deliveries and collate delivery notes with Purchase Orders
Inform departments of goods received
Investigate late or incorrect deliveries - supervising the quarantine procedure and dealing with pricing queries
Post invoice on system and match against PO
Process staff expense claims once approved
Process majority of company credit card expense claims
Assist with month-end accounting entries e.g. depreciation, prepayments
Manage facilities email account ensuring requests are actioned
Log all facilities requests and ensure progress is noted and achieved against these requests
Maintain an annual planned maintenance schedule, review regularly, organise upcoming activities by liaising with internal stakeholders and external suppliers
Obtain quotes and raise POs and approvals for all proposed work prior to commissioning
Ensure service sheets and document are collected, filed and actioned
Alert facilities manager of any emergency breakdowns
Monitor facilities related spend
Administer all facilities soft services e.g. Cleaning contract, laundry contract
Manage and order as required stationery, kitchen supplies & office equipment
Liaison with Milton park facilities team
Ensure the common and storage areas outside the labs and the entrance lobby are kept in good order at all times
Manage an accurate and up to date register of all scientific equipment including asset labelling and recording through liaison with lab managers
Ensure all scientific equipment is serviced and maintained including PAT testing
Key Qualifications and Skills
Must be diligent and organised
Have a creative approach to problem solving and the development of solutions
Excellent knowledge of MS Excel
Ability to work both independently and part of a team
Ability to build trust quickly
Driven and proactive approach
Thrives and is resilient in an environment of change and ambiguity
AAT part qualified desirable
Previous purchase ledger/accounting experience
Experience of working in a small team
Adaptability and flexibility
Analytical skills and problem solving
Creativity and innovation
