The purpose of the Executive Assistant role is to ensure senior stakeholders are freed of administrative and organisational tasks and concerns in a pro-active, output driven way.

Job Description

As Executive Assistant you will assist the Senior Leadership team with a variety of tasks, including but not limited to;

  • Completes a broad variety of administrative tasks for the CEO and executive management team including: Impeccable scheduling and management of complex and continually changing diary across different time zones
  • Strategic organisation of meetings, events and tasks to optimise the CEO’s time and productivity ensuring schedule is followed and respected
  • Proactive organisation of internal and external meetings including Board Meetings and Executive Team meetings
  • Arranging international travel, accommodation, overseas meetings and handling of all logistics
  • Laser sharp focus on designing and producing high quality documents, reports and presentations
  • Preparation of information for internal and external meetings with staff, Board and outside parties
  • Diary and email management, composing correspondence and business meeting reminders of important meetings and events CEO must attend
  • Ensure the CEO is prepared with all correct documents and information they needs for important meetings
  • Systemised processes and procedures to boost effectiveness
  • Attending meetings and capturing actions/minutes to ensure they meet internal governance requirements with proactive follow up of actions with key stakeholders to ensure timely delivery.

The ideal candidate

Executive Assistant Skills, Knowledge & Experience:

  • Demonstrable experience supporting C-Level Executives
  • A high level of confidence and integrity to be collaborative and team-oriented, must be able to multi-task, have a ‘can do’ attitude and maintain composure under pressure
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and investors
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
